If you need to cancel your registration, please contact the Registration and Housing Coordinator (see below for contact information). Be aware there are NO REFUNDS for registration fees as the deadline for written cancellation was 16 September. Housing at the Embassy Suites San Diego - La Jolla --- SOLD OUT!!
This is the official event hotel, BUT IT IS CURRENTLY SOLD OUT. However, we arranged for an overflow hotel nearby, The RADISSON LA JOLLA, 3299 Holiday Court (about a mile from the Embassy Suites and across the street from the UCSD campus), at the group rate of $134/night. If you choose to stay at this hotel, please call them at +1.858.453.5500, ask for reservations and tell them you are with the "iGrid Group" and you want the special group rate. Alternatively, there are several hotels within a 20 minute drive of the campus to choose from; contact your travel agent or websites for more information.
The Embassy Suites is located approximately 2.5 driving miles from the Calit2 building on the UCSD campus, so daily event busing will be provided. If you are staying at the Radisson La Jolla, you have several transportation options: You can walk to the UCSD campus and catch one of their campus shuttles to the Calit2 Building; OR you can take a cab; OR you can schedule the Radisson shuttle (US$45 round trip for up to 10 passengers)to take you to the Calit2 Building; OR if you're driving, you can park on the campus and walk or take the campus shuttle to the Calit2 Building. Parking and Transportation
Daily transportation from the Embassy Suites to the UCSD campus is provided by the event. Busing schedules will be posted at both locations as well as on this website. International Visa Information
If you need an official Letter of Invitation to obtain a visa to attend the iGrid 2005 Workshop and GLIF Meeting, please send an email to the Workshop Coordinator, Laura Wolf, c/o EVL-UIC, laura @ evl.uic.edu, and include your passport number, date of issue (dd/mm/yyyy), date of expiration (dd/mm/yyy), passport country, country of origin if different from passport, your name, mailing address, phone and fax numbers. A PDF formatted letter will be prepared for you to submit with your visa application.
Registration Instructions and Information
NOTE: REGISTRATION IS LIMITED and will be handled on a first-come, first-served, basis. Registration will close when capacity is reached or by the extended deadline of 02 September 2005.
Full Week Registration Fee: US$795 (includes all receptions and the GLIF Meeting on Friday, 30 September 2005) One Day Registration Fee: US$295 (Please select which day you will attend when you register. Tuesday attendees may attend the Monday Night Opening Reception at no additional cost. Wednesday and Friday attendees may attend those particular evening receptions at no additional cost.) Guest Fee(s): US$50 per reception (up to three receptions will be held during the week)
Guest tickets may be purchased for the evening receptions. If you plan on bringing a guest(s) to any of the receptions, be sure to complete the section of this registration process called "Events". Indicate which reception you wish your guest to attend. Reception fees will be assessed at the time your registration fee is processed. Changes and cancellation policies also apply to these fees.
All registration and guest fees will be charged by "Task Handlers Inc" to your designated credit card within one week of receiving your information. This fee is NON-REFUNDABLE unless the registration is cancelled online or in writing to the Registration and Housing Coordinator no later than 16 September 2005. Please make note of this to avoid any chargeback disputes.
Housing Deposits: All rooms must be guaranteed with a credit card or your reservation will be released. Although no deposit is required, there are strict cancellation and "no show" policies as noted below under "Changes and/or Cancellations". If you are paying by wire transfer or cashiers check, you must still provide a credit card or some other form of pre-payment to guarantee your room. Please provide this information in the "Alternative Payment Request" field on the payment page or contact the Registration and Housing Coordinator to make special arrangements.
Registration Confirmations: When registering via the online system, you will automatically receive an email confirmation of your registration information immediately following submission. If you do not receive this email, you have not successfully registered and should try again. If registering via fax, you will receive an email confirmation within one week of receiving your registration information.
Receipts: For expense reporting purposes you will receive a receipt via email for all paid fees upon completion of this event. Please contact the Registration and Housing Coordinator with any questions.
Hotel Confirmations: If you request a hotel room through the online system, you will receive your hotel confirmation number in an email sometime after 2 September 2005. If you have not received your confirmation by 21 September, you may contact the Embassy Suites direct at +1.858.453.0400 and ask for reservations or the front desk.
Changes and/or Cancellations
Registration fees are NON-REFUNDABLE unless cancellations are submitted in writing via email or fax no later than 16 September 2005. You may also use the online registration system until it closes on 26 August 2005 to cancel your registration if you registered using the online system.
Housing reservations may be cancelled in writing via email or fax (cancelling via the online reg system is only available until 02 September 2005) up to two weeks prior to the date of arrival without penalty. Housing reservations cancelled within 14 days and prior to 48 hours of the date of arrival will be charged one night’s room and tax by the hotel. Any reservations cancelled within 48 hours of the arrival date will be billed for the entire stay by the hotel.
